General information

This careers privacy policy, which refers exclusively to data collected as part of the online application process, is to inform you about how your personal data that is collected as part of the online application process is handled at our end.

Personal data collected as part of the application process

Personal data means any information concerning the personal or material circumstances of an identified or identifiable individual. This includes information such as, for example, your name, address, telephone number and date of birth, but also data relating to your specific career etc. by reference to which a specific individual can be identified with reasonable effort. However, information which cannot be (in)directly associated with your real-life identity is not personal data.

Applicable legal provisions are, in particular, those of the regulation (EU) 2016/679 of the European Parliament and Council of 27 April 2016, repealing the directive 95/46/EC, on the protection of individuals with regard to the processing of personal data, on the free movement of such data (“General Data Protection Regulation”, GDPR) as well as in the Federal Data Protection Act (Bundesdatenschutzgesetz, BDSG) and the German Telemedia Act (Telemediengesetz, TMG).

Fundamentals and purposes of processing personal data collected from application documents and during the application process, legal basis of processing data

If you apply to us electronically, i.e. via e-mail or using our online form on this website, we will collect and process your personal data for the purpose of executing the application process and preparing contracts (for (pre)contractual obligations based on Art. 6 para. 1 lit. b. GDPR or – as applicable – for the purpose of the employment relationship with you based on Section 26 para. 1 s.1 BDSG). Your sensitive data (such as biometric data, health data, data about your religious beliefs etc.) are processed by us for the purpose of the application process based on your consent if necessary (legal basis: Art. 9 para. 2 lit. a GDPR, Section 26 para. 3 BDSG). We may also process personal data bases on our interest to check and verify information, for example through publically available information on social media or on other websites (legal basis: Art. 6 para. 1 lit. b. GDPR or – as applicable – for the purpose of the employment relationship with you based on Section 26 para. 1 s.1 BDSG or Art. 6 para. 1 lit. f GDPR). By submitting an application via our recruitment website, you express your interest in taking up work with us. In this context, you transmit personal data, which we will use and store exclusively for the purpose of your job search / application process. In particular, the following data is collected during this process:

name (first and last names) e-mail address phone number LinkedIn profile (optional) channel through which you found us Furthermore, you can choose to upload expressive documents such as a cover letter, your CV and reference letters. These may contain additional personal data such as date of birth, address etc. Only authorized HR staff and/or staff involved in the application process have access to your data. The personal data is stored, as a rule, exclusively for the purpose of filling the vacancy for which you have applied. Your data will be stored for a reasonable time period after the application process has been concluded (in general 180 days after the last communication with you). This is usually done to fulfill legal requirements (based on Art. 6 para. 1 s.1 lit. e GDPR, Section 26 para. 1 s.1, para. 3 BDSG) and/or defending ourselves against any claims arising from legal provisions (based on Art. 6 para. 1 s.1 lit. f GDPR). After this period, we are obligated to delete or anonymize your data. In case of anonymization, the data will only be available to us in the form of so-called metadata, without any direct personal reference, for statistical analysis, for example, share of male and/or female applicants, number of applications per specified period of time etc. (the legal basis is, as applicable, Art. 6 para. 1 s.1 lit. f GDPR with our legitimate interest of improving our recruiting process). Furthermore, we reserve the right to store your data with your explicit consent in our “candidate pool” for 365 days after the application process has been concluded for the purpose of adding it to our Talent Pool in order to identify any other vacancies that may be of interest to you (based on Art. 6 para. 1 s.1 lit. a. GDPR, Art. 9 para. 2 s.1 lit. a. GDPR or Section 26 para. 3 BDSG). This includes, for example, applications for apprenticeships or internships. Should you be offered and accept a position with us during the application process, we will store the personal data collected as part of the application process for at least the duration of your employment.

Disclosure of data to third parties; Data processing in/outside the EU/EEA

We may share your data with third parties, such as external agencies, as part of the hiring process. The data submitted with your application will be transmitted via TLS encryption and stored in a database managed by third-party providers. These providers offer human resource and applicant management software solutions and act as our processors under Article 28 of the GDPR. In this case, the data processing is governed by a processing agreement between us, as the data controller, and the third parties. Further information about a data processing in and outside the EU/EEA and by third party providers may be found below and in our privacy policy.

Rights of data subjects

You have the following rights:

  • the right of access,

  • the right to rectification or deletion,

  • the right to restriction of processing,

  • the right to data portability,

  • the right to withdraw a consent given by you.

You also have the right, for reasons related to your particular situation, to object at any time to the processing of your personal data pursuant to Art. 6 para. 1 s.1 lit. e or f GDPR; this also applies to profiling based on these provisions.

You have the right to lodge a complaint with the data protection authority of your choice (for example der Hamburgische Beauftragte für Datenschutz und Informationsfreiheit, Ludwig-Erhard-Str 22, 20459 Hamburg).

Storing and deleting data

The data are deleted if you withdraw your consent and/or such data are no longer necessary for the purpose of processing. We or the engaged third party services delete your data according to the following criteria: Time and completion of requests, settings provided by third party providers etc. Furthermore, your data are stored if we are obliged to do so in accordance with legal retention periods (e.g. German Commercial Code (HGB) or German Fiscal Code (AO)).

Data Security

For a best possible security of user data the service through the website is provided via a secured SSL connection between your server and the browser. That means that the data shall be transferred in encrypted form. We as well as our data processors have also implemented technical and organizational measures.

Data processing when visiting the website (log files)

The controller of the recruitment website (or the webspace provider) collect data on each visit to the website (so-called server log files), which include:

name of the website visited, file, date and time of the visit, data amount transferred, information on a successful call, browser type as well as version, operating system of the user, referrer URL (the page visited before), IP address and the requesting provider

as well as the following, if a mobile end device is being used:

country code, language, name of device, name of operating system and version

Theses server log files are only used for statistical evaluations for the purpose of optimizing the services and in order to guarantee the stability and operational security of the website. When personal data (such as the IP-address) are stored the legal basis for this is Art. 6 para. 1 s.1 lit. c. GDPR or Art. 6 para. 1 s.1 lit. f. GDPR based on our legitimate interest of fraud prevention and quality assurance.

Use of cookies on the website

The so-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”). On this recruitment website, we generally use only cookies that are absolutely necessary or functional, in particular, for implementing certain default settings such as language.

In the event personal data are processed such processing is based on Art. 6 para. 1 s.1 lit. f. GDPR with the legitimate interest of quality assurance or, as applicable with your explicit consent (based on Art. 6 para. 1 s.1 lit. a GDPR).

Changes to this careers privacy policy; further information

We reserve the right to adjust this careers privacy policy at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the application process or other processes. In this case, the new careers privacy policy applies to any later visit of this recruitment website or any later job application.
